Troop 37 Nov 18-19 winter backpacking trip

  1. Setup trip
    • Where: Cold Mountain, Hiking Directions and Map == Circuit hike of 6 miles. 3 miles to camp site with water.  3 miles out. Gary B. to grab topo map.
    • Dates/Times: Leave Saturday, Nov. 18, 7:00am, Return Sunday, Nov. 19, early afternoon (noon). We can call from vehicles ahead to parents in C’Ville.
    • Purpose: Backpacking, winter skills, shake down trip for Gary B. as outdoor coordinator
    • Meals guidance: backpacking, stove cooking, no camp fires for cooking purposes, make cooking and cleaning easy because of cold, limited daylight, minimum cooking gear.
      • Breakfast Saturday at home Saturday before trip
      • Lunch Saturday - Personal meal requiring no cooking
      • Dinner Saturday - Winter backpacking so remember weight, cold takes longer, and limited daylight hours.  Think one pot boiling water meals.
      • Breakfast Sunday - Winter backpacking so remember weight, cold takes longer, and limited daylight hours.  Think one pot boiling water meals.
      • Lunch Sunday - Personal meal requiring no cooking or on transports.
      • Leave some food on bus for trip home
      • Personal Snacks like cheese and crackers, granola bars, and trail mixes (Cheerios, chocolate chips, peanuts, raisins, and M&M’s).
    • Money: not needed during trip.  Food purchases will be shared.  Budget $6.00/person for food this trip.
    • Water: Bring nalgene bottle filled with water from home. Need troop level water pumps and platypuses.
    • Special items: – Can leave extra set of clothes and food stuffs in transports for return trip home.
    • Transportation: 
      • I’d rather have everyone listed with their information on the permit even if every vehicle doesn’t go.
      • Need 1) the vehicle's make, model and year, 2) how many people the vehicle can carry, 3) how much gear the vehicle can carry, 4) driver's license number and state, 5) insurance liability amount for each person, each accident and property.

    • Attendance:  14 scouts and 4 adults (Chris S., Gary B., Chuck M., Jim S.,) Peter M. maybe.
    • Weather report: Monroe, Va.  Only for general weather conditions.
    • Deadlines:  Completing and submitting required medical or release forms. Monday, Nov 13, troop meeting. Medical form. CLASS 1 is the only part that needs filing out for this.  I’ll gather the med forms from the troop leadership since the forms should be on file already from Apple Harvest.
  2. November 6, at Monday night meeting:
    • Have SPL/ASPL set aside time during meeting for “Patrol Corners” to plan for camping trip. Patrol leaders should -
      • Determine who is going and establish tenting arrangements.
      • Plan menus and assign grocery shopping, cooking, and clean-up responsibilities.
      • Determine who is responsible for bringing and maintaining various equipment needed by the patrol for safety, cooking, and navigation. Winter backpack camping so remember weight, cold and daylight hours.
    • Get list of adults going on trip. Have patrol member check to see if parents can drive/attend the outing.
    • Have SPL/ASPL conduct or arrange for someone to conduct any special training that might be necessary before the trip (how to pack for backpacking; cold weather camping; etc.).
    • Any special training for Tenderfoot - 1st Class Scout?
  3. November 13, Mon/Tues/Wed/Thurs:
    • Have SPL/ASPL get final count and names of those attending… if this cannot be done on Monday night because some Scouts are absent or there is not a Monday meeting, PLs call all members of their patrol on Tuesday and report totals and names to SPL/ASPL. The SPL is responsible for calling an adult coordinator by Wednesday evening with names of Scouts attending to allow time for the adult coordinator (Gary Banks).
    • On Wednesday and Thursday, adult coordinators call other adults, starting with those who have sons attending the activity. Gary Banks assigned.
    • A BSA Tour Permit should be prepared and a copy of the Driver/Vehicle Inventory should be faxed to the Stonewall Jackson Council office in Waynesboro. The fax number is 540.943.6676. The regular phone number is 540.943.6675 in the event of problems with the fax. Gary Banks assigned.
  4. November 18 Day of Trip
    • SPL/ASPL and PLs verify that everyone is present and properly equipped (food, tent, clothing etc.).  Troop and patrol and buddy gear distributed fairly.
    • Trip coordinator gets Scouts on bus or in cars/vans.
    • Once on trip supervise but turn it over to the SPL/ASPL
